We have not appointed a Data Protection Officer, as one is not required for our activities. For any question about your data, contact us at info@ensafe.gr.
What data we collect
Through the contact form: your name, company name, business email, telephone (optional), industry, employee-count range, location, the services you are interested in and your message. We also record the page language, whether you are asking for a consultation or a quote, the time of submission and an inquiry reference.
Technical data: as with any website, the server receives your IP address, browser type and the page you requested. The hosting provider may record these in technical logs to operate and secure the website.
Please do not send medical records, health information or other sensitive data through the form, or details of other people that are not necessary.
Why we use your data and on what legal basis
- To answer your inquiry and prepare a proposal or quote. Legal basis: taking steps at your request before entering into a contract (Article 6(1)(b) GDPR). When you contact us on behalf of a business, we use your details as its representative based on our legitimate interest in responding to businesses that approach us (Article 6(1)(f)).
- To protect the form and the website from abuse and spam. Legal basis: our legitimate interest in operating the website securely (Article 6(1)(f)).
- If we go on to work together, to perform the contract (Article 6(1)(b)) and to meet our tax and accounting obligations (Article 6(1)(c)).
We do not use your details for newsletters or advertising, and we never sell them.
Do you have to provide your data?
Sending an inquiry is optional. Fields marked with an asterisk (*) are needed to understand and answer your inquiry; without them the form cannot be sent. You can also contact us directly by email or telephone.
Who receives your data
Your details are accessible only to authorised people at EnSafe. To run the website we use the following providers, which process data on our behalf under data processing agreements:
- Vercel Inc. (USA): website hosting and form processing.
- Resend, Inc. (USA): delivering the form message by email to our company mailbox.
- Microsoft (Microsoft 365): hosting our company email.
If we go on to work together, some details may be shared with our accountant or with public authorities where the law requires it.
Transfers outside the European Economic Area
Vercel and Resend are based in the USA, and Microsoft may process data in the USA. These transfers rely on the providers’ certification under the EU-U.S. Data Privacy Framework and/or the European Commission’s Standard Contractual Clauses included in their data processing agreements.
How long we keep your data
- Inquiries received through the form: up to 24 months from our last contact if no cooperation follows. They are then deleted.
- If we go on to work together: for the duration of the cooperation and afterwards for as long as tax and commercial law require.
- A copy of each form message and its delivery log at our email provider (Resend): 30 days.
- The temporary identifier derived from your IP address to limit repeated submissions: used for 10 minutes, held only in the server’s temporary memory, and never written to storage or saved with your inquiry.
- Technical logs of the hosting provider: for a limited period set by the provider.
Your rights
You have the right to:
- access your data (Article 15 GDPR),
- have inaccurate data corrected (Article 16),
- have your data erased (Article 17),
- restrict processing (Article 18),
- data portability (Article 20),
- object to processing based on our legitimate interests (Article 21).
To exercise your rights, email info@ensafe.gr. We respond without undue delay and within one month at the latest; for complex requests this can be extended by two further months, and we will tell you if so. If needed, we will ask for proportionate confirmation of your identity; please do not send copies of identity documents unless we ask.
Your right to complain
If you believe that the processing of your data breaks the law, you can complain to the Hellenic Data Protection Authority (1-3 Kifisias Ave., 115 23 Athens, tel. +30 210 6475600, www.dpa.gr). For complaints about exercising your rights, the Authority asks that you contact us first.
Automated decisions
We do not make decisions based solely on automated processing, and we do not create profiles. The form’s automatic checks (field validation, a limit on repeated submissions and bot protection) may block a submission, but they do not assess you or your business.
Security
The website is served only over an encrypted connection (HTTPS). We limit access to our company mailbox to authorised people at EnSafe.
Changes to this policy
We may update this policy when the website’s features or our providers change. The date of the latest update is shown at the top of the page.
